Uploading Your Conversion Data from a Spreadsheet (CSV)

The no-setup way to send us booked calls, new clients, seminar attendance, or lead ratings — upload a CSV right in the portal. Includes the exact template for each type and how the safe preview works.

This is the simplest way to tell us what happened to your leads — no automation, no developer, no setup. You upload a spreadsheet, we match it to your leads, and you see a preview before anything is saved.

It's ideal for a seminar sign-in sheet, or a once-a-month batch of booked calls and new clients.

Where it is

In your portal, go to My Leads and click ⬆ Import conversions at the top.

When the window opens, first pick what you're uploading. Whatever you choose applies to every row in your file, so you upload one type at a time.

Get the template

Once you've picked a type, click Download template in the window. You'll get a ready-made CSV with the right column headings and one example row — just replace the example with your own data and upload it back. That's the easiest path, because the file is already in exactly the shape we expect.

Filling it in

  • You need an email OR a phone in every row — that's how we find the lead. Both is better. You don't need both.

  • The date column is optional. Leave attended_on / booked_on / converted_on blank and we'll treat it as happening now. If you fill it in, use a plain date like 2026-07-01.

  • value (new clients) is what the client is worth — just the number. Dollar signs and commas are fine, we'll clean them up.

  • rating must be exactly qualified or unqualified. feedback is an optional note.

Your column names don't have to be perfect. We recognize the common variations — Email Address, Mobile, Cell, Amount, Deal Value, Notes, and so on — so a plain export from your CRM usually works without renaming anything. Capitals and spaces don't matter.

Uploading it — and the safe preview

You can either choose your CSV file or paste the rows straight into the box. Then work through the buttons in order:

  1. Check file — an instant format check. It tells you how many rows look good and flags any that need a fix (a bad email, a missing rating, a date it can't read), with the row number.

  2. Preview matches — this is the safe one. We look each person up and show you how many matched a lead, but nothing is saved. Use it to make sure the numbers look right.

  3. Apply updates — once the preview looks good, this saves it.

Nothing is written to your account until you click Apply updates, so you can check as many times as you like.

What "didn't match" means

Some rows won't match a lead — and that's usually fine. The most common reason is a walk-in who never registered online, so we don't have them on file. It isn't a mistake on your end.

We never create new leads from an import. Unmatched rows are simply skipped, which keeps your lead counts and cost-per-lead accurate. If you want to chase them down, click Download unmatched — you'll get those rows back in the same layout with a reason column, so you can fix an email or add a phone number and re-upload just those.

A couple of tips

  • Re-uploading is safe. Sending the same person twice won't double-count them, so if you correct a file and upload it again, no harm done.

  • Mixing types in one file? If your CRM export already has an event column saying what each row is (booked_call, converted, attended, rated), that wins over the type you picked — so one file can carry a mix. Most people don't need this; picking a type and uploading one kind at a time is simpler.

  • What we do with it: booked calls and new clients are sent to the ad platforms so they optimize toward people who book and buy; ratings tell them which leads were good ones; attendance is used for your reporting and show-up rates.
